How we judged them

Four questions, in the order they matter for a Malaysian team:

  1. Does it treat WhatsApp as the main channel or as an add-on? Template approval, the 24-hour service window and per-message fees are Meta's rules, not the vendor's. A tool built on the official WhatsApp Business Platform handles them for you. A tool that bolted WhatsApp on hands you the rules.
  2. What does the AI actually cost at your volume? Every vendor now says "AI". The difference is the meter: per seat, per session, per resolution or per conversation. A per-resolution bot that works well gets expensive precisely because it works.
  3. What is the price at the tier you will need in twelve months, not the tier on the homepage? The feature you need is usually one tier up, and that tier re-prices every seat.
  4. Is anyone local? Ringgit billing, a Malaysian support window and a team that understands a reply in Bahasa or rojak are worth more in practice than a longer feature list.

How to choose: the channel mix in Malaysia

Almost every comparison article was written for a market where email and phone come first. In Malaysia the order is usually WhatsApp, then website or marketplace chat, then phone, with email a distant fourth for anything that is not a formal complaint. That order should drive the shortlist:

  • WhatsApp carries most enquiries: start with a WhatsApp-first inbox and add a help desk later if ticketing becomes a real need. Buying the help desk first and bolting WhatsApp on is the most common and most expensive mistake in this category.
  • You run an online store: Shopee, Lazada and TikTok Shop chats each live in their own seller center, and none of the ten tools reads all of them natively. Plan on an integration or an AI layer that answers order-status questions from your own data on every channel, and judge each tool on how well it covers the channels it does reach.
  • Customers still call: pair a cloud phone system with a chat tool, and count how many calls are routine before you pay for more seats.
  • Language: test a reply in Bahasa, Mandarin or mixed rojak during the trial. Most AI bots on this list handle it; what matters is whether the routing, canned replies and reports do.

Everyone else is under the PDPA, which does not require Malaysian hosting but does require consent and reasonable security. Ask every vendor for its data-center region and its data-processing agreement.

Build versus buy: where an AI layer beats another seat

Buy the inbox. Every tool above is better at being an inbox than anything you would build. The question is what to do when the built-in bot stops short, which in our experience happens at the same three points:

  • Answers that need your data. "Where is my order", "is Saturday 3 pm available", "what is my outstanding balance". The vendor bot does not have that information; an AI layer that reads your order system, booking calendar or accounting software does, and it answers on every channel the inbox covers.
  • Language handling tuned to your customers. A generic bot handles Bahasa; it does not know that your customers write "dah bayar" with a screenshot and expect a receipt back.
  • Voice. None of the chat tools answers the phone. An AI voice line sits beside the inbox and logs the call into it.
